Accounting Assistant - Part-Time - Chicago Fire Soccer Club (Bridgeview, IL)

Objective: 

The main responsibility of this role is to assist in the general accounting functions for the Chicago Fire Soccer Club and its various entities and affiliates

Responsibilities:

  • Reconcile daily bank transactions including but not limited to credit card settlements, box office deposits, front office deposits, field rental deposits and payments, and other miscellaneous receipts
  • Create journal entries and post them in QuickBooks upon proper review and approval
  • Receive mail and distribute invoices to appropriate departments
  • Audit Department Budget Template’s on monthly basis to ensure invoices are turned and budgets are being tracked
  • Proof and enter AP invoices into accounting system
  • Print and process weekly check runs
  • Create Invoices to be sent to partners and work with Corporate Partnership Reps to ensure payment in a timely manner
  • Coordinate bank deposit transactions and balance petty cash on a regular basis
  • Maintain files, including filing of general ledger journal vouchers, accounts payable documentation and other miscellaneous items
  • Manage and update vendor information
  • Research and resolve accounts payable issues with vendors
  • W9 and 1099 processing at year end
  • Assist with month-end processes
  • Create and analyze balance sheet reconciliations on a monthly basis
  • Complete special projects and miscellaneous assignments as required

Qualifications/Desired Skills:

  • Applicant must be a current undergraduate student; current graduate student a plus
  • Undergraduate or graduate degree in accounting or finance is required
  • Previous internship experience in accounting or finance is required
  • Strong written and oral communication skills is a must; possess the ability to establish and maintain interdepartmental relationships
  • Strong organization skills and attention to detail
  • Ability to adapt to change, work in a fast-paced environment
  • Proficiency with MS Office (Word, Excel & Outlook) required
  • QuickBooks general ledger software experience a plus
  • Reliable transportation is required
  • Position is part time; 25-30 hours per week
  • Rate of pay is $10 - $15 per hour, based upon experience

• Sell 50/50 tickets in an enthusiastic manner
• Actively approach fans pre-game and in-game to explain the details of the 50/50 raffle program

Department: Chicago Fire Foundation/Chicago Fire Community Relations
Hours required: min.15-40 per week (possibly more during season)

Primary Responsibilities

GUEST SERVICE AMBASSADOR DESCRIPTION: Looking for Customer Service Passionate Individuals! The game-day Guest Service Ambassador will work Chicago Fire soccer events at TOYOTA PARK. He/she is primarily responsible for providing each fan with a comfortable and enjoyable environment to view soccer matches. This is accomplished through superior knowledge of guest services and the layout of the facility, while ensuring that all policies and procedures are followed. This position requires 5 hour shifts and attendance is mandatory for every home game. The schedule can be found at www.chicago-fire.com/schedule (will be posted after January 7th)

RESPONSIBILITIES include but are not limited to:

• Usher- Direct fans around facility (bathrooms, seating, concessions, etc.,), check tickets, greet fans with a smile & positive attitude, answer questions and ensure all fan needs are met, ensure safety of staff and fans, keep area clean, handle complaints and collect feedback, provide assistance fans with special needs and support other event day staff.

• Guest Relations- provide wheelchair escorts, assist with lost and found, re-unite separated parties, wipe down seats, distribute giveaways, direct fans around facility, greet fans with a smile & positive attitude, answer questions and ensure all fan needs are met, ensure safety of staff and fans, handle complaints and collect feedback and support other event day staff.

• Monitor seating areas, elevators and concourse

• Uphold the fan experience standards set by the Chicago Fire

QUALIFICATIONS:

Senior Account Executive, Partnership Marketing - Chicago Fire Soccer Club (Bridgeview, IL)

Expectations:

The Senior Account Executive, Partnership Marketing will primarily be responsible for managing several of the largest Chicago Fire Corporate Partners, including the jersey relationship. This individual will need to multi-task effectively to not only manage the account elements and relationships with the assigned partners, but to lead and complete various projects benefiting the whole Partnership Marketing/Corporate Partnership team. This individual will need to demonstrate superior organizational and communication skills and understand the importance of confidentiality. A team-first mentality is necessary, being willing to assist beyond the designated responsibilities listed below.

Responsibilities:

  • Conduct Proactive Relationship Management with 10-15 assigned Chicago Fire corporate partners, while building productive relationships with consistent engagement through partner touch points
  • Regularly meet and exceed customer expectations as their day-to-day lead. Manage relationship building and sales process via web-based CRM tool
  • Deliver superior Activation: coordinate/execute all partnership elements/assets for each assigned partner. This includes but is not limited to (1) game-day activation and events at Toyota Park, and (2) non-game day events and promotions, including but not limited to clinics, tournaments, player appearances, special promotions, and sweepstakes execution, and (3) partner-related hospitality activities. May require travel and nontraditional hours
  • Build and develop specific activation concepts for each respective partner as needed according to contract definition and/or growth opportunities
  • Regularly identify partner objectives and pursue opportunities that deliver mutual growth for the partner and the Fire organization
  • Participate in/support partner activation plan development and communications internally with Marketing and Operations functions. Support Fire operations necessary to execute partner activation plans
  • Prepare mid-year and end-of-year recaps for each assigned corporate partner
  • Demonstrate superior Budget Management for all elements and events. Track all costs and maintain control of the budget allocated to each assigned corporate partner
  • Regularly support Corporate Sales team with communications and ideas/solutions for assigned partners and future partners. In addition, work with the sales team during the partner renewal cycle
  • Alongside the Fire’s youth development department, plan and execute the Chicago Fire Juniors Youth Tournament, the Valspar Invitational
  • Compile the digital calendar for all partner promotions and work with the Director, Digital Media to ensure proper placement of all digital benefits
  • Coordinate the matchday team schedule for the Corporate Partnership team each home event. In addition, work with game operations to prepare the matchday script and with operations to set the operations chart for each partner prior to all home matches
  • Effectively communicate cross-functionally across all areas of the company, including Marketing, Operations, Communications, Ticket Sales, Chicago Fire Foundation/CR, Finance, Graphic Design
  • Regularly provide Research/Market Awareness to keep up-to-date with current partner news
  • Own and manage Reporting for Individual Elements and Project Areas of Responsibility as assigned by Director, Partnership Marketing
  • Coordinate any sponsor-related projects as assigned by Director, Partnership Marketing or Vice President of Corporate Partnerships

Qualifications:

  • Bachelor’s degree in related field
  • Minimum of 3 years of relevant work experience, sports marketing experience strongly-preferred

Ticket Operations Internship

This is a part-time seasonal position which will begin in Februrary and end at the conclusion of the 2016 season. The candidate will be paid hourly and work 25-35 hours a week. Interns will be asked to work some nights and weekends. Applicants should be familiar with Microsoft Office and possess excellent written and oral communication skills.
